Check the audio devices in both apps
Open Whynote before the call and check Microphone and System Audio in Settings → Permissions. Your microphone supplies your voice, while system audio captures the sound playing on the Mac. The meeting recording guide covers the general setup.
In Teams device settings, check the microphone and speakers you intend to use. In Whynote, check the selected input in Settings → Audio. Revisit both after connecting a headset, because the two apps may be using different devices.
Check a short test before recording the conversation
- Join Teams and agree on recording with the participants.
- Start a short Whynote recording and have both sides speak.
- Stop and play it back to confirm that each voice is present.
- Start a fresh recording for the meeting, then stop and transcribe it afterward.
Check microphone state separately in Teams and Whynote. A permission or device choice in one app does not establish what the other is recording. Repeat the source check if you change headsets during the meeting.
This Whynote workflow keeps audio for a transcript and notes. Arrange a video recording in advance if you also need the participants’ video or screen presentation.
Bring in a recording already saved by Teams
For work or school meetings, Teams recordings may be stored in OneDrive or SharePoint and linked from the meeting or chat. Check whether your account can download the file first. If access is restricted, ask the organizer for an authorized copy.
Open the downloaded audio or video through Add files in Whynote. A meeting-chat link is not itself an audio file for the importer. The Mac file transcription guide covers formats and download checks.
Turn the transcript into a useful follow-up
Check names, deadlines and action ownership against the recording after transcription. For several participants, you can prepare local speaker diarization. Labels help locate a line, while the action owner still needs to be confirmed.
With Pro, choose a summary style for an overview, action items or a follow-up message. The meeting summary guide explains that workflow. Read the result before sharing so conditions and unresolved questions remain visible.
If one side of the meeting is missing
If your voice is present but the other participants are missing, check system-audio access and Teams playback on the Mac. If the remote voices are present but yours is missing, check Whynote’s microphone selection and input state. Transcription cannot recover audio that was not captured.
A managed work Mac may have access controlled by your organization, so ask the administrator about an unavailable permission. For local recognition, prepare the model using the offline setup guide. The privacy guide separates local recognition from account data transfer.
Use a saved recording on iPhone
On iPhone, import a saved Teams recording or record your own recap after the meeting. Whynote on iPhone does not capture the call’s system audio. Check important commitments with the participants or source when your recap relies on memory.
The iPhone audio guide explains file import and transcription. To capture a new thought inside the app, use the voice-note workflow.
