Copy the action items template
Copy the template or download an editable Word document. Repeat the action block for each task, and leave unconfirmed fields marked until someone clarifies them.
You can also select the text in the field and copy it manually. Once filled in, move it into the document or message your team uses.
Prepare an action draft from the recording
Record the meeting in Whynote on Mac or import an available audio file and get a transcript. In the Mac app, open Summary, choose Action items and generate a draft. Generation needs an internet connection and the relevant Pro access, with conditions shown in the app.
On iPhone, you can record a voice note or import saved audio and work with its text. Move checked actions into the template yourself rather than assuming every item already has an owner and deadline. The meeting summary guide covers preparation and review.
Fill in what people actually agreed
Start each action with a verb and add an outcome that makes completion clear. Instead of “discuss the presentation,” you might agree to “prepare two opening-slide options for review.” If that outcome was not part of the conversation, confirm the clarification with the person responsible.
An owner should be named or confirmed, and a due date should reflect an agreement. “I will try to look at it by Friday” does not promise a finished result on Friday. Leave uncertain fields open and ask for clarification before sending the list.
A filled-in action list example
This fictional example shows the difference between an agreed task and an open question. It is not a transcript of a real meeting or a Whynote customer case.
| Action | Owner | Due | Done when |
|---|---|---|---|
| Prepare two email options | Maya | 6 November | Both drafts are available for team review |
| Check which illustrations can be used | Noah | After the files arrive | Each file has a confirmed permitted use |
| Confirm the mailing cost | To be determined | Not set | A quote covers the agreed recipient count |
The last row is not yet a commitment by a particular person. First agree who will answer the question and when to revisit it. Then update the list and let the team know what changed.
Share the actions and arrange a check-in
Check each row against the recording or the participant’s confirmation and remove duplicates. Separate agreed actions from unresolved questions in your follow-up message. The follow-up email example shows how to present that distinction.
If the team also needs context and decisions, use the full meeting minutes template. A short action list and a next-review date are often easier to work from after the call. Keep the Whynote recording available when you need to clarify the original commitment.
Keep your next meeting in Whynote
Get Whynote for Mac to work with the conversation recording and check commitments. On iPhone, keep a voice note or import an available meeting file.
