Create your meeting minutes
Fill in the decisions and tasks you agreed on, then create a document you can edit. If you recorded the meeting in Whynote, use the transcript to check names, deadlines and wording before sharing the minutes.
The text you enter in this form is processed in your browser and is not uploaded by this tool. Save a copy before leaving the page because the form does not keep your work.
Fill in the fields and create the document to enable copying and downloads.
Copy or download the blank template
This template works for team meetings and can be edited in your document editor without an account or a Whynote subscription. Leave a field blank until the details have been confirmed.
You can also select and copy the text manually.
A filled example
This example uses fictional people and decisions to show a completed set of minutes. Replace the details with your own meeting while keeping the decisions and actions clear.
Website launch check-in
Date: 27 October 2026 · Participants: Mira, Alex · Goal: agree on the next release check.
Decision: keep the launch date open until the mobile checkout is reviewed. A proposal to launch on Friday was discussed, not approved.
| Action | Owner | Due | Done when |
|---|---|---|---|
| Review the mobile checkout | Alex | 29 October | Results and any blocking issues are shared. |
| Send the revised page copy | Mira | 28 October | The team has one document for review. |
Open question: does the payment review change the launch date? Owner: Alex; discuss after the review.
Next check: 30 October, after both actions have been reviewed.
What makes minutes useful?
A transcript keeps the wording of the conversation, while meeting minutes record the decisions and next actions. Someone who missed the meeting should be able to understand the outcome without reading the full transcript.
- Decision: state the agreed outcome. Label a proposal as a proposal.
- Action: use a concrete verb, one responsible owner, a due date and a completion condition.
- Open question: record what still needs an answer and who will obtain it.
- Review: ask participants to correct commitments before treating them as final.
“The team will look at it soon” is hard to follow up. “Alex shares the mobile checkout review by 29 October” gives a person and a result to check. Keep only details needed to understand the decision; remove unrelated personal information before sharing.
Use a recording to prepare the first draft
Record the meeting in Whynote on Mac, or import saved audio into the iPhone app. The transcript helps you find a passage, while the recording lets you check it before filling in the minutes. With Pro, you can also prepare a summary draft to review against the conversation.
- Capture the meeting using an agreed recording workflow.
- Produce a transcript and check unclear passages, names and numbers.
- Move only confirmed decisions and actions into the template. Keep proposals and unresolved questions separate.
- Send the minutes to participants for review and store the final version where the team can find it.
Follow the Mac meeting recording guide or the iPhone audio-to-text guide for the setup. Keep the reviewed minutes where your team can find them later.
Common questions
Can I use the template without Whynote?
The copyable text, TXT and editable Word file are available without an account or installation. Install Whynote separately if you want to prepare a transcript and summary draft from your meeting.
Is this a transcript template?
It is a meeting outcome template. Put decisions, actions and open questions here; keep a full transcript separately if you need the conversation’s exact wording.
Can AI fill the minutes for me?
AI can prepare a draft from a transcript, but people should confirm decisions, owners and deadlines. Do not turn a tentative suggestion into an approved commitment.
